Summer School Terms and conditions
Agreement to Terms
By submitting an enrolment form to International Projects Centre (IPC Exeter), the student and their parent or guardian confirm that they have read, understood and agreed to the Terms and Conditions set out below. These Terms and Conditions form the basis of the agreement between IPC Exeter and the person responsible for the booking. Submission of the enrolment form constitutes acceptance of these Terms and Conditions.
Individual Summer School Students
Students enrolling on the IPC Exeter Junior Summer School will receive information outlining the structure of the course, accommodation arrangements, and the academic and social programme. Submission of the enrolment form confirms acceptance of these Terms and Conditions by the student and their parent or guardian.
Safeguarding and Student Welfare
IPC Exeter is accredited by the British Council and follows the safeguarding standards set out within the Accreditation UK scheme. The welfare and safety of all students is a priority for IPC Exeter. Students under the age of 18 will be accommodated with carefully selected homestay hosts. All hosts are vetted prior to approval and appropriate safeguarding checks are carried out, including identity verification and DBS enhanced disclosure where required. IPC Exeter staff are responsible for the supervision of students during scheduled lessons and organised activities.
School Rules and Student Conduct
Students are expected to behave responsibly and to comply with the school rules which will be explained at the beginning of the course. These rules include policies regarding behaviour, alcohol, drugs and smoking. Students must show respect towards staff, host families, fellow students and members of the public. IPC Exeter reserves the right to dismiss a student from the programme in cases of serious misconduct, illegal activity, or repeated breach of school rules. In such circumstances, the student’s parent or guardian will be responsible for arranging and paying for the student’s immediate return home. No refund of course fees will be issued in these circumstances.
Supervision Outside Scheduled Activities
IPC Exeter provides supervision during scheduled lessons, organised activities and arranged transfers. Outside of scheduled programme activities, students are expected to behave responsibly and follow the guidance provided by IPC staff and host families. IPC Exeter cannot provide continuous supervision at all times, and students are expected to comply with curfews and any safety instructions given by staff or host families.
Medical Information and Emergencies
Parents or guardians must provide full and accurate details of any relevant medical conditions, allergies, dietary requirements or other welfare needs at the time of enrolment. IPC Exeter cannot accept responsibility for any difficulties or medical issues arising from the failure to disclose relevant medical or welfare information prior to the start of the course. In the event of a medical emergency, IPC Exeter staff may authorise appropriate medical treatment if it is not possible to contact the parent or guardian immediately. This authorisation applies only where treatment is recommended by a qualified medical professional. Any medical costs not covered by insurance remain the responsibility of the student’s parent or guardian.
Insurance
Summer School fees include travel insurance that covers cancellation due to accident or illness prior to travel. Details of the insurance policy will be provided upon request. Participants are responsible for ensuring that they have appropriate travel documentation and any additional insurance they consider necessary.
Travel and Transfers
Parents or guardians are responsible for ensuring that students have valid passports, visas and any other documentation required for travel to the United Kingdom. Where airport transfers are arranged by IPC Exeter, students must provide accurate travel information in advance of arrival. IPC Exeter cannot accept responsibility for missed transfers where incorrect or incomplete travel details have been provided. Any additional transport costs resulting from delayed, missed or changed flights may be charged to the student’s parent or guardian.
Booking and Payment
Course fees must be paid in British Pounds (GBP). A deposit of £300 is required to confirm a booking. The deposit must be paid within seven days of the invoice being issued. The remaining balance of fees must be paid no later than eight weeks before the course start date. IPC Exeter reserves the right to cancel a booking if payment deadlines are not met.
Cooling-Off Period
For bookings made online or by telephone, customers are entitled to a 14-day cooling-off period in accordance with UK consumer law. If cancellation is made within this period, a full refund of the amount paid will be issued, less any bank charges and the cost of services already provided.
Cancellation by the Participant
After the 14-day cooling-off period, the following cancellation terms apply: Cancellation more than eight weeks before the course start date – refund of fees paid minus the £100 booking fee, courier costs and bank charges. Cancellation between four and eight weeks before the course start date – cancellation fee of £500. Cancellation less than four weeks before the course start date – no refund will be issued. All cancellations must be made in writing.
Programme Changes
IPC Exeter reserves the right to make reasonable changes to the programme, accommodation arrangements, teaching staff, or activity schedule where necessary. Where possible, IPC Exeter will notify participants of any significant changes in advance.
Liability
IPC Exeter shall not be liable for loss, damage or injury to persons or property except where such liability arises from negligence on the part of IPC Exeter or its employees. Students are responsible for their personal belongings at all times.
Damage to Property
Students are expected to treat accommodation, school facilities and property belonging to host families with respect. Any damage caused by a student to accommodation, school facilities or the property of a host family must be paid for by the student’s parent or guardian.
Photography and Media
Photographs and video recordings may be taken during the course for use in promotional materials, including websites and printed publications. Parents or guardians who do not wish their child to appear in such materials must notify IPC Exeter in writing before the start of the course.
Force Majeure
IPC Exeter shall not be held responsible for failure or delay in performing its obligations where such failure is caused by events beyond its reasonable control. These may include, but are not limited to, natural disasters, severe weather, government restrictions, pandemics, strikes, or transportation disruptions.
Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising in connection with these Terms and Conditions shall be subject to the jurisdiction of the courts of England and Wales.
