TERMS AND CONDITIONS
We have negotiated your booking with you or your group organiser after first explaining everything that is involved in booking a course with International Projects Centre. In returning your completed enrolment forms you agree to abide by the terms and conditions as set out below. Our terms and conditions are outlined below.

SCHOOL GROUPS AND TAILOR MADE COURSES
If you are the leader of a school group or the organiser of a tailor made course, you have negotiated your course details and costs with our team – your course has been designed especially for you and you have been liaising with our Projects Team to arrive at the course best suited to the needs of your situation, your school and the students who will be attending. We have booked all of the elements of your course for you – these include your group transfers from a UK port of arrival, your group’s accommodation with carefully selected homestay hosts, your academic and social programme in Exeter which is either based upon your requests or a standard programme that we offer.

In asking for and agreeing to the programme in Exeter you agree to abide by our terms and conditions as set out below.

SUMMER SCHOOL
If you are the leader of a summer school group you have received our detailed summer school offer and have passed on this information to the parents of students in your care. The details of our offer our set out clearly in the offer you have received and on the IPC website.

If you are an individual student enrolling on our summer school course you have received our detailed offer and assistance from our team in enrolling for your course. In returning enrolment forms you agree to abide by the terms and conditions as set out below.

TEACHER TRAINING
If you are an adult and have applied for a place on one of our teacher training courses you have received our detailed information about our course and our enrolment forms. In returning your enrolment forms you agree to abide by the terms and conditions as set out below.

SAFEGUARDING
As a British Council – accredited school we follow the guidelines set out in the Accreditation UK scheme. An important priority in our work is the safeguarding of all of the students in our care. Students and adults travelling from abroad to study in the UK are potentially in a vulnerable situation and we take measures to ensure that all students are supported and protected in this position.

If you are a visiting group leader in charge of a group of students we will ask you to provide, for our files, the equivalent of a DBS enhanced disclosure certificate. This assures us that you are an appropriate person to be in charge of a group of students travelling to the UK and assists us in the safeguarding of your own students and all of the students in our care.

If you are a teacher or school leader working at the school from which the students are recruited we will ask for site of the police check your school has undertaken as part of your recruitment process.

In the absence of this document we will ask for a letter from your Head Teacher or your overseeing authority if you are a head teacher confirming that you are a fit and proper person to be travelling abroad with a student group.

HOMESTAY HOSTS
All IPC hosts are vetted for their suitability to host visiting students – this means that they have provided – or we have paid to acquire – a DBS enhanced disclosure certificate confirming their suitability to host. We have also asked Devon County Council Social Services to check their databases to confirm the suitability of a homestay host to welcome visiting students into their homes.

DISCLOSURE
You should disclose any relevant information when completing your enrolment forms. These forms are used by our team to plan your accommodation and your course. If you fail to disclose important information which later becomes significant in relation to your stay in Exeter we reserve the right to take action to protect our situation and the position of our staff. We cannot be held responsible for any problems arising from a situation that could have been avoided if the relevant information had been disclosed in your enrolment form.

MEDICAL
In a medical emergency if we cannot contact your group leader, your parent, or your next of kin and we are required to make a decision on your behalf we will follow the advice of medical professionals.

YOUR MENTAL HEALTH
Please ensure that any condition relating to your mental health is disclosed on your enrolment form. For example, anarexia nervosa. Certain conditions give rise to concern and might make you unsuitable for an experience abroad. In cases in which a mental health condition has not been disclosed that bring about a situation that our staff are not trained to manage we will for a parent or next of kin to travel to Exeter at your own expense to resolve/assist with your return home.

SCHOOL RULES
The school rules will be set out at the beginning of your stay either in a document provided to visiting group leaders or in a presentation made to the students in person or both. We have strict rules around appropriate behaviour, alchohol, drugs and smoking and ask you to comply with these rules. If our rules are broken we reserve the right to send any student home at the cost of the student’s family/the school overseeing his or her visit.

RESPECTING OUR STAFF
Our teachers and staff and homestay hosts should be treated respectfully and we will protect their interests.

INSURANCE AND CANCELLATION
Our Summer School fees include insurance which is available to view upon request. It is a quality policy that covers against cancellation of flights and school fees in case of accident or illness in advance of travel.

For all other courses, we expect and encourage you to have your own insurances in place and refer you to our cancellation terms in case of cancellation.
